Job description

CEA is a rapidly growing organization and we need a talented, motivated US Operations Specialist to continue our growth. In 2017, CEA opened a US office, and launched three new programs: EA Funds, EA Grants, and, most recently, EA Community Building Grants. Over the course of 2018 we expect to move more than $10 million to a variety of groups and individuals, and to expand our team by 50% or more.

The US Operations Specialist will be essential in ensuring that CEA can continue to grow as rapidly as we intend to. The role of Operations Specialist requires flexibly tending to practical tasks while keeping a dedicated eye on the state of our systems. An industrious and inquisitive demeanor will serve this role well: Where are the bottlenecks? What might we be missing? What does success look like?

This is a dynamic position, straddling areas of administration, finance, legal compliance, human resources, and more.  It’s also a position of great responsibility, wherein many of CEA’s core systems will be yours to manage, track, and improve upon. A candidate who can make the most of this role will be able to act as an impressive value multiplier for the operations team and for all of CEA.

Responsibilities

The US Operations Specialist is responsible for operations analysis and improvements, managing our legal compliance, and handling some of our external communications.

Operations analysis and improvements:

  • Developing implementation plans for organization-wide process improvements, while always asking:
    • Why is this (imperfect) system the way it is now?
    • What are the costs and benefits of changing this process?
  • Researching and writing reference documents on a wide variety of areas to help guide other staff

Legal compliance

  • Supervising compliance processes
  • Staying vigilant for risks and opportunities on the horizon, e.g. new legal requirements
  • Advising CEA staff on legal matters

External Communications:

  • Acting as a point of contact for attorneys and other professionals we regularly contract with
  • Answering questions from EA community members and donors

The ideal candidate will demonstrate each of the following attributes:

  • Extremely organized — This role requires tracking many moving parts within several concurrent projects, prioritizing effectively, and redirecting attention to what’s most crucial.
  • Quick to learn & adapt — A good Operations Specialist will be a self-directed learner with an industrious attitude. They will regularly need to work on projects in arenas that are new and unfamiliar.
  • Critical mindset — The ideal candidate for this role will be able to approach problems and processes with a critical eye, always asking “What do I not yet know?” and “What information might change our minds as we move forward?”
  • Creative, with superb problem-solving skills — If the best solution were obvious, we’d be doing it already! This is a great space to think outside of the box.
  • Friendly, collaborative & excellent communicative skills — This role will involve plenty of communication with coworkers, community members, donors, and professionals external to CEA. You’ll need to work well with others and tailor your communication to each situation.
  • Discretion — This job will work closely with our management team, and will involve exposure to a range of sensitive or potentially confidential information.  The perfect candidate won't need to be told when to keep things private, and will err on the side of caution when discussing potentially sensitive information. Trust is really important to us.
  • Long term commitment — We want to invest in our staff and find someone who’s excited to truly become a part of the team and to help plot the course for CEA. If you’re only after a short term job before going on to something else, this isn’t the role for you. We’d love to find someone who who can commit for at least a year, but plans to be with us for two years or more.

Salary, benefits and location

This position is based in downtown Berkeley. Our starting salary range is $70-100k, with the possibility of going up to $115k in exceptional circumstances. Benefits include health care and dental coverage, generous paid vacation time, a flexible work schedule, and allowances for self-development and equipment.
